- Payment confirmation records processed by our payment provider — we never store full card numbers.

HOW WE USE IT
Your information is used to process applications, issue passes, communicate programme updates and meet our legal and accounting obligations. We do not sell personal data, and we do not use your details for third-party advertising.
SHARING AND PROCESSORS
We share data only with service providers who help us run the programme, and only to the extent they need it.
- Hosting and infrastructure providers operating our website and application forms.
- Payment processors handling registration fees and refunds.
- Venue and security partners, for on-site access control where a pass is issued.
- Regulators or authorities where disclosure is legally required.
RETENTION
Application and accreditation records are kept for the duration of the event cycle and a reasonable period afterwards for reporting and audit purposes. Financial records are kept for as long as tax and accounting rules require. When a record is no longer needed, it is deleted or anonymised.
YOUR RIGHTS
You can ask us to access, correct, export or delete your personal data, or to stop sending you programme communications.
- Request a copy of the personal data we hold about you.
- Ask us to correct anything inaccurate or out of date.
- Ask for deletion where we have no ongoing legal reason to keep it.
- Unsubscribe from email updates using the link in any message.
SECURITY
Access to personal data is limited to the people who need it, connections to our services are encrypted in transit, and accounts used to administer the programme are protected by individual credentials. No online service can promise absolute security, so we encourage you to share only what a form asks for.
